Plan software maintenance and change requests

Maintenance keeps a product usable as its environment changes. Separate defects, compatibility work, and new capabilities so priorities and costs remain understandable.

Distinguish a defect from a new requirement

A defect is a failure to meet agreed behavior. A change request introduces or alters that behavior. A dependency update may be necessary because a supported environment has changed. Record the expected outcome and the evidence for the request before deciding how to classify it. Clear examples prevent disagreements caused by different interpretations of a feature.

Maintain a useful issue report

Include the product version, device or browser, steps to reproduce, expected result, and actual result. Note how many people are affected and whether a workaround exists. Share sanitized screenshots when they clarify the problem. Never include passwords, payment details, or confidential documents in an initial support message.

Review impact before scheduling

A small-looking change can affect permissions, exports, notifications, or existing data. Check these dependencies and identify the tests needed after implementation. For a new feature, discuss how it changes the user journey and whether existing documentation needs revision. Agree a scope and priority before making delivery commitments.

Keep releases understandable

Group related changes and communicate what users need to know. Release notes should identify meaningful improvements, corrected problems, and any user action required. Version information helps support teams connect an issue to the right release. Avoid presenting a planned change as available before it has actually shipped.

Agree the operating model

Decide who monitors service health, reviews dependencies, maintains backups where relevant, and approves updates. The appropriate cadence depends on the system and the consequences of interruption. A maintenance agreement should describe included activities and exclusions. This guide describes planning considerations; actual support coverage is determined by the product or project agreement.
